Company Policy1. Appointment Scheduling and Cancellations A. Booking Process Online Booking: Clients can book appointments through the In Tune Inc. website. Upon booking, clients will receive a confirmation email with the appointment details and payment instructions.
Phone and In-Person Booking: Clients may also schedule appointments over the phone or in person at the office. An appointment confirmation will be provided at the time of booking.
Deposit: A non-refundable deposit of 20% of the service fee is required to confirm all appointments. The deposit can be paid via credit/debit card, bank transfer, or digital wallets.
Confirmation: Appointments must be confirmed by the client at least 48 hours before the scheduled time. Failure to confirm may result in the appointment being canceled. 
B. Rescheduling Notice Period: Clients are allowed to reschedule their appointments without penalty if done at least 24 hours before the scheduled time.
Short-Notice Rescheduling: Rescheduling within 24 hours of the appointment will incur a rescheduling fee of 10% of the service fee, which will be added to the final bill.
Limitations: Clients may only reschedule an appointment twice. After the second rescheduling, the appointment will be considered canceled, and the deposit will be forfeited.
C. CancellationsAdvance Notice: Cancellations made at least 24 hours in advance will receive a full refund of the deposit. Cancellations can be made via phone, email, or through the online booking system.
Late Cancellations: Cancellations made within 24 hours of the appointment will result in the forfeiture of the deposit. The remaining balance will not be charged.
No-Show Policy: If a client does not show up for their appointment and has not canceled or rescheduled, the full-service fee will be charged to the payment method on file.
2. ConsultationsA. Initial Consultation Purpose: The initial consultation is designed to understand the client’s health concerns, goals, and history. This helps in creating a personalized healing plan.
Duration: The initial consultation typically lasts 60-90 minutes, depending on the complexity of the client’s needs.
Documentation: Clients are required to fill out a detailed health questionnaire before the initial consultation. This information will be discussed during the session. 
B. Follow-Up ConsultationsFrequency: Follow-up consultations are scheduled as needed based on the client’s progress and evolving needs. These sessions are typically shorter, lasting 30-60 minutes.
Review and Adjustment: The practitioner will review the client’s progress, address any new concerns, and adjust the healing plan as necessary.
Additional Services: If additional services such as herbal supplements or meal planning are recommended, they will be discussed during the follow-up consultation.
C. ConfidentialityPrivacy Assurance: All consultations are conducted in a private setting. Client records are kept confidential and are only accessible to authorized personnel.
Data Handling: Personal health information is stored securely in compliance with data protection regulations. Clients have the right to request access to their records.
Disclosure: Client information will not be disclosed to third parties without written consent, except where required by law, such as in cases of suspected abuse or when legally subpoenaed.
3. Payment and FeesA. Payment MethodsAccepted Payments:Payment is required at the time of service. Accepted payment methods include credit/debit cards, bank transfers, digital wallets (e.g., PayPal, Venmo, Cash App), and cash.
Payment Plans: For clients opting for package deals or multiple sessions, payment plans may be available upon request. These plans must be agreed upon in writing before services commence.
B. RefundsService Refunds:Refunds are not provided for services that have been rendered. However, if a client is dissatisfied with a service, they may be offered a follow-up session at a discounted rate.
Package Deals: Payments for package deals are non-refundable. However, if a client is unable to complete the package, they may transfer the remaining sessions to another person with prior approval.
Product Refunds:Herbal supplements and other products purchased through In Tune Inc. can be returned for a refund or exchange within 14 days, provided they are unopened and in their original condition.
C. Package DealsUpfront Payment: All package deals require full payment upfront. These packages often offer a discount compared to individual session pricing. 
Transferability: Clients may transfer unused sessions in a package deal to another individual with the consent of In Tune Inc. Transfers must be documented and signed by both parties.
Expiration: Package deals must be used within one year of purchase. After this period, any unused sessions will expire, and no refunds will be issued.
4. Service DeliveryA. Meal Planning Customization: Meal plans are tailored to each client’s specific health needs, dietary restrictions, and goals. Clients must provide all relevant health information during the initial consultation.
Review and Adjustments: Meal plans will be reviewed and adjusted based on the client’s progress and feedback. Follow-up consultations are recommended to ensure the plan remains effective. 
Medical Disclaimer: Clients are advised to consult their healthcare provider before making significant changes to their diet, especially if they have existing medical conditions. 
B. Quantum Healing Hypnosis Technique (QHHT) Session Preparation: Clients are required to prepare for QHHT sessions by avoiding stimulants and practicing relaxation techniques in the days leading up to the session. Session Length: QHHT sessions typically last 4-6 hours, depending on the depth of the session and the client’s individual needs.
Recording: Sessions will be recorded, with the client’s understanding, for their personal use. Recordings are confidential and will not be shared without permission. 
Mental Health Considerations: Clients with a history of mental health conditions must disclose this information before scheduling a QHHT session. Sessions may not be appropriate for individuals with certain mental health disorders.
C. The Emotion Code Session Process: The Emotion Code sessions involve identifying and releasing trapped emotions that may be contributing to physical or emotional issues. Sessions are typically 30-60 minutes long. 
Client Participation: Active participation from the client is essential during Emotion Code sessions. Clients should be open to discussing past experiences and emotions. 
Results: While many clients experience immediate benefits, the results of Emotion Code sessions can vary. Some issues may require multiple sessions to fully resolve. 
D. Herbal Supplements Personalized Recommendations: Herbal supplements are recommended based on the client’s health profile and goals. A thorough review of the client’s medical history is conducted to avoid contraindications. 
Quality Assurance: In Tune Inc. sources high-quality, organic herbs from reputable suppliers. All supplements are prepared in accordance with industry standards.
Usage Instructions: Clients will receive detailed instructions on how to use the recommended herbal supplements. It is crucial to follow these instructions to achieve the desired outcomes.
E. Meditation SessionsSession Structure: Meditation sessions are guided and may include techniques such as breathwork, visualization, and mindfulness practices. Sessions are typically 30-60 minutes long. 
Environment: Sessions are conducted in a quiet, comfortable space to promote relaxation and focus. Clients are encouraged to wear comfortable clothing and avoid distractions. 
Progress Monitoring: Clients are encouraged to keep a meditation journal to track their progress and reflect on their experiences. Follow-up sessions can help refine techniques and address any challenges. 
F. Reiki SessionsSession Preparation: Clients are encouraged to wear comfortable clothing and create a quiet, peaceful environment for their Reiki session, whether conducted in-person or remotely.
Session Length: Reiki sessions typically last 60-90 minutes, during which the practitioner will channel healing energy to the client.
Post-Session Guidance: After the session, clients will receive guidance on how to continue supporting their energy balance and well-being.
5. Client ResponsibilitiesA. Health DisclosureFull Disclosure: Clients must disclose all relevant health information, including current medications, treatments, and medical conditions, prior to receiving any service. Failure to do so may result in adverse outcomes. 
Ongoing Updates: Clients are responsible for informing the practitioner of any changes in their health status, including new diagnoses or treatments, during the course of their care. 
B. Personal Accountability Adherence to Recommendations: Clients are expected to follow the guidance and recommendations provided during consultations and services. Non-compliance may affect the efficacy of the treatment plan. 
Active Participation: Healing is a collaborative process. Clients are encouraged to actively participate in their healing journey, which may include lifestyle changes, self-care practices, and ongoing communication with the practitioner.
C. Professional Conduct Respect and Courtesy: Clients are expected to treat the practitioner and other clients with respect and courtesy. Any form of harassment or inappropriate behavior will result in immediate termination of services. 
Timeliness: Clients should arrive on time for their appointments. Late arrivals may result in a shortened session to accommodate subsequent appointments. 
6. Confidentiality and PrivacyA. Data Protection Secure Storage: Client data, including health records and personal information, is stored securely in compliance with applicable data protection regulations. Only authorized personnel have access to this data.
Client Access: Clients have the right to request access to their records at any time. Requests must be made in writing and will be fulfilled within 14 business days.
Data Retention: Client records are retained for a minimum of seven years after the last service was provided, in accordance with industry standards. 
B. Session Privacy Private Sessions:All sessions, whether in-person or virtual, are conducted in a private setting to ensure confidentiality. Clients are encouraged to choose a quiet, undisturbed space for virtual sessions. 
Non-Disclosure: Information discussed during sessions will not be shared with third parties without the client’s explicit consent, except as required by law.
7. Professional Ethics A. Non-Discrimination Equal Access: In Tune Inc. provides services to all individuals regardless of race, gender, religion, sexual orientation, or socioeconomic status. Discrimination in any form is not tolerated.
